Create your account
Head to fieldflow.store/#signup and fill in your company name, your name, and a work email. Field Flow will create your tenant, give you a 7-day waiver (full access, no billing), and display a one-time temporary password.
- Open fieldflow.store
- Click Start your free trial
- Fill in the form and submit
- Copy the temporary password from the confirmation screen
- Click Go to sign in → this takes you to fieldflow.team
- Log in with your email + temp password. You'll be asked to set your own password.
Heads up: the temporary password expires 1 hour after it's shown. If you miss it, use the Forgot password link on the login screen and the temporary password can be granted again.
Add technicians
All technician creation goes through the Billing tab so you always see the per-seat cost before you add someone.
- Open Menu → Billing
- Tap + Add Technician
- Pick a role: technician, lead tech, or apprentice
- Enter their name, email, and location
- Tap Create — Field Flow generates a temp password for them and shows it once
- Share that temp password with your tech (text, email, or in person)
Waived tenants (like trial accounts) see a green banner saying no charge will apply. Paid tenants see the $20/mo per seat cost upfront.
Add locations
By default every tenant has a Main Office branch. Additional branches cost $150/year each.
- Open Menu → Billing
- Scroll to Locations → tap + Add Location
- Fill in the location name and address
- Waived tenants are created instantly; paid tenants go through a short Stripe checkout
Set up inventory
Field Flow has two layers of inventory: shop stock (warehouse bins) and van inventory (what's on the truck).
- Open Menu → Manage Inventory Items
- Add categories (e.g. "HVAC — Filters", "Plumbing — Fittings")
- Add individual items with thresholds (min qty before low-stock alert fires)
- Use the Bulk Send toggle to push items into a shop location or directly onto a van
Set up fleet & vans
Each vehicle is a first-class entity. Give it a van number, nickname, trade (HVAC/Plumbing/Both), and a primary tech.
- Open Menu → Manage Van Inventory
- In the Vehicles card tap + Add Vehicle
- Fill in the van number, nickname, trade, and (optionally) the primary tech
- Save — the van appears as a gradient card in the Fleet grid
- Tap View Inventory on any assigned van to jump to its stock
Custom branding
Every shop is different. Upload your own logo and color; every report, PDF, and in-app screen rebrands.
- Open Menu → Settings → Company Branding
- Upload your logo (PNG or JPG, recommended 512×512)
- Enter your company name and tagline
- Tap Save — the preview updates live
Roles & permissions
Field Flow ships with 5 roles and fine-grained permission switches per role.
- Admin — full access (max 2 per company)
- Manager — all ops; no billing/deletion of other admins
- Lead Technician — sees team reports, drafts, van inventory
- Technician — files their own reports + drafts
- Apprentice — same as technician, usually with reports read-only
Open any user's card on Manage Technicians → tap the Permissions button to fine-tune.
Feature toggles
Admins can enable/disable entire app sections company-wide in Settings → Features:
- Service Workflows — HVAC + Plumbing report/estimate forms
- Reports — view-all-reports screens
- Drafts — autosave draft workflow
- Inventory — shop + van inventory (usually always on)
First-time login (technicians)
When your admin creates your account, they'll share a temp password with you.
- Open fieldflow.team on your phone
- Type your email + temp password
- You'll be forced to set a new password before anything else opens
- You're in. Tap Add to Home Screen (iOS Safari) for a native-app feel.
File a service report
- From the dashboard tap HVAC Field Pro or Plumbing Field Pro
- Pick Service on the trade home screen
- Fill in the customer, equipment, and service details — the form guides you through the right fields for the system type
- Add photos, parts used, and labor
- Tap Submit — office sees it instantly
Build an estimate
- From the trade home screen tap Estimate
- Pick the system type — the form customizes (Gas Package, Elec Package, Furnace+AC, etc.)
- Fill in the measured values, run lengths, and equipment sections that show up
- Save & submit when done
Work with drafts
Every report autosaves as a draft. If you Go home mid-job, hit My Drafts to resume right where you left off on any device.
Check van inventory
- Tap Menu → Van Inventory
- Pick your van from the Fleet grid
- Scan, deduct, or adjust qtys inline
- Low-stock items auto-trigger a restock alert for your admin/manager
Working offline
Field Flow caches GET responses and queues writes when the device loses LTE. When you're back online, everything reconciles automatically. No lost reports.
Rule of thumb: start the app once on WiFi at the shop so the cache seeds. After that, basements and crawlspaces are fine.
Forgot my password
- On the login screen tap Forgot password
- Enter your email
- Your admin/manager gets a notification in their bell — they approve it and hand you a new temp password
- Log in with that temp password — you'll be asked to set a new one immediately
Session expired
Access tokens last a year, but if you see an orange "Your session expired — please sign in again" banner, just sign back in. Your data's safe.
